Version 1.0, July 2026 · Guide: Business AI Safety

External tool features, policies, pricing, and availability may change.

How to use this

A short, plain policy people will actually follow. Adjust the wording to how your business works, fill in who to ask, and share it with the team. Replace the bracketed placeholder with a real name or role.

  1. Approved accounts onlyUse the company's approved AI tools and business accounts for work. Do not use personal AI accounts for company tasks.
  2. Keep private data outNever paste customer, financial, employee, or NDA-covered information into a public AI tool. If it would not go on the company bulletin board, it does not get pasted.
  3. Verify before you relyCheck every fact, number, name, and citation against its real source before using AI output in your work.
  4. Review before a customer sees itRead anything customer-facing for accuracy and tone before it is sent, posted, or published.
  5. A person signs off on high-impact workAnything that can cost money, create a legal or financial obligation, or affect trust gets a named human approval before it goes out.
  6. Leave professional decisions to professionalsAI may organize and explain, but legal, tax, medical, and compliance decisions are made by qualified people, not by a tool.
  7. Disclose AI-made mediaLabel AI-generated images or video that could be mistaken for real, and never create a real person's likeness without their documented consent.
  8. Protect accessDo not share account logins. Report anything that looks like a data leak, a suspicious result, or a tool behaving in an unexpected way.
  9. When unsure, askIf you are not sure whether a particular use is appropriate, ask before proceeding. It is always fine to check first.
